Registration, Fees & Deadlines 2019

Registration will open on Monday, November 19 at 6:00 pm PST,
and will close on Saturday, November 24 at 8:00 pm PST.

Registration is not complete until your fees have been paid. This can be done automatically at the end of the registration process - just click the "Pay" button and follow the prompts to use PayPal to pay your fees. (FYI - We are picking up the PayPal charges for you!)

Two things to do before Registration opens:
1) Register with Stoa now. Students are required to be Stoa members in order to participate in this tournament. For Stoa membership, click here: Stoa Membership 2018-2019
2) Register as a Parent Judge now (Judge Registration opens November 1) - before Student Registration opens! Click on the JUDGE REGISTRATION tab above. This will speed up your student registration process.

How to Register a Student:
On November 19 at 6:00 pm PST, click on the STUDENT REGISTRATION above and complete all necessary steps. To add students to a family registration, just click "ADD STUDENT." If more than one family registers on the same computer, make sure the previous family has been logged off.

Team Policy and Parli and Duo participants ~ Please check with your partner to ensure that he/she is also registered. A team is not eligible to compete until both partners are registered. Having one partner sign up does NOT hold a space or count as registration for the other partner. EACH student of a TP or Parli or Duo team MUST be registered and payment must be completed by the close of registration on November 24 at 8:00 pm. Otherwise you will be removed from that event, and we will contact the next team on the waitlist. Call your partner now!

6. Events dropped after 8:00 pm on December 8 will be subject to a Drop Fee PER EVENT payable online or onsite at the tournament student check-in. Specific details on Drop Fees are below.

Drop Fees
A Drop Fee is an additional charge you need to pay if you drop (cancel out of) an event after the specified date. This fee applies if you are still competing at the tournament in other events. If you withdraw completely from the tournament, you will lose your entire registration fee, but you will not be charged additional drop fees. If you are withdrawing from the tournament, please let the tournament registrar know ASAP. If you are dropping an event after registration closes, please let the tournament registrar know ASAP. Please don’t wait until the day of the tournament to let the tournament staff know that you are dropping an event.

Drop Fees are standard practice at many tournaments. Drop Fees are utilized to discourage late drops to events. Late drops negatively impact the tournament in a number of ways:

1. Once tournament registration closes, the Tab staff begins preparing the tabulation database for the tournament. Each time a change is made in an event registration it results in the Tab staff having to update the tabulation database. This obviously creates extra work for the Tab volunteers.

2. If event changes are made at tournament check-in, it can cause the tournament to be delayed even before it starts.

3. Dropping an event at tournament check-in can result in disparate competition at the tournament. For example, some rooms have 8 students and others have 7. If a late drop occurs it can result in one room having only 6 students while the others have 7 or 8. This creates a disparity in the level of competition for that event. It can also negatively impact the later rounds in that event.

4. Because so many students are registering for our competitions, some events fill to capacity, resulting in students being placed on waiting lists. If a student who is already registered in an event drops the event prior to the close of registration, the Tab staff has enough time to offer the spot to a student who is wait-listed in that event. However, if an event is dropped after registration closes it can be too late to add a student from the waiting list to the event. This is most certainly the case if an event is dropped at tournament check-in. That means a student is prevented from competing because another student has made a late drop from an event.

In order to prevent the aforementioned issues from occurring, please double-check your events prior to December 1. If you decide to drop any events, please send an email to before 8:00 pm on Saturday, December 2.

Cancellations Summary

Prior to December 1 at 8:00 pm ~ Refunds available.
December 2-8 ~ No Refunds, No Drop Fee.
December 9-January 1 ~ No Refunds, Drop Fee of $20 per event.
January 2-6 ~ No Refunds, Drop Fee of $25 per event.

In order to be eligible to compete in your other events, this fee must be paid online or by cash or check at student check-in before the tournament begins. Please do not attempt to circumvent this process as it creates difficulty for your volunteer tournament staff and can lead to uncomfortable interactions.

Thank you for your understanding.
